How to Create and Manage a Waitlist for a Full Class

A full class is a useful signal: people want the experience, and a waitlist gives them a fair way to stay interested. It also helps you fill seats when someone cancels.

Open the waitlist at the right time

Set a real capacity before publishing. When every seat is booked, keep the class visible and offer a waitlist rather than collecting names in scattered messages. Your class registration workflow should make the status clear.

Collect only useful information

Ask for a name, email, and any details you need to contact the person. Do not make someone complete the entire booking form before they are invited. Explain that joining the waitlist does not guarantee a seat or charge them.

Use a consistent order

Invite people in the order they joined unless you have a clear, disclosed reason to do otherwise. Keep a record of the invitation time and response deadline. Consistency prevents confusion when several people are waiting.

Give a reasonable window

A short response window helps you keep the class full, but it should give people enough time to see the message. If they decline or do not respond, move to the next person and let them know the opportunity has passed.

Review your waitlist after the class. High demand may justify another date, a larger venue, or a second format. A waitlist is not just a backup list; it is useful planning data.
