How to Handle Class Refunds and Credits
Refunds and credits are part of running a class business. A thoughtful process protects the attendee relationship and prevents your payment records from drifting away from what actually happened.
Start with the policy
Check the cancellation terms that were visible when the attendee booked. If you make an exception, record why and what you offered. This creates a consistent reference for future conversations and helps anyone on your team respond accurately.
Choose the right resolution
A refund is often clearest when the attendee cannot use a future date or when the class was cancelled. A credit can work when the attendee still wants the experience but needs flexibility. A transfer may be useful when someone can send another person in their place and your policy allows it.
Confirm the result in writing
Tell the attendee the amount, method, timing, expiration date if relevant, and what happens next. Use simple language and link to your payment and policy FAQ for more context.
Keep the ledger accurate
Update the registration status, payment record, available seat, and any credit balance together. Do not rely on memory or an informal note. A class management system can keep those pieces connected.
At the end of each month, review refunds and credits by reason. Patterns can reveal a scheduling problem, unclear expectations, or a policy that needs adjustment.
