Manage attendees on your class
Every class has an Attendees tab where you can handle a booking after it exists — adding a guest to someone's reservation, refunding a payment, or taking someone off the roster. The actions live inline on each attendee's row. Placing a brand-new walk-in on the class starts from Contacts instead, and a straight swap into another class is something the customer does from their own portal.
Add a guest to an existing reservation
- Open the class from your Classes page and go to the Attendees tab.
- Find the existing attendee and click the Add guest button on their row. (The same action sits on the ⋯ menu on their row in Contacts.)
- Enter the guest's first and last name — those are the only required fields. Email and phone are optional, and there's a This guest is a minor checkbox for children.
- On a paid class, choose what happens with the money in the Payment section: No payment / free (the default), Add unpaid & get a payment link, or Mark as paid. Free classes never show this section. If the class has pricing options, pick the one this guest is coming in on — that sets the amount.
- Click Add guest. They're linked to the original attendee's booking and appear together on the roster, check-in list, and seating chart.
- Chose the payment link? A Payment link ready dialog shows a short link for that guest alone — copy and send it yourself. They're on the roster immediately as an Unpaid guest holding a spot, and the link stays valid until they pay. Re-copy it any time with Copy payment link on their row, or click Mark as paid if they hand you cash.
- A guest takes a spot, so the class has to have room — a full class is refused.
- Guests entered at the same time as the original booking stay on that booking's single payment link. Only a guest added later gets a link of their own.
- Removing a guest who paid their own link does not refund them — issue that refund in your Stripe or Square dashboard.
Manually add an attendee
- Open Contacts from your dashboard sidebar and click Add Attendee. (There's no add button on the class page itself — manual adds all start from Contacts.)
- Choose the class in the Event dropdown, then enter a first and last name. Email and phone are optional, so a walk-in with no details can still go on the roster.
- On a paid class, pick what happens with the money: add them free, add them unpaid and get a short payment link to send, or record a payment you've already collected.
- Save. They're confirmed on the roster straight away and count toward capacity — use this for walk-ins, phone bookings, or comp spots.
Move someone to a different class
- There's no transfer button on the roster — a move is either the customer's own reschedule or a cancel-and-re-add by you.
- The customer's route: they open their attendee portal from their confirmation email and reschedule themselves into another of your classes, where your booking policy decides what's allowed.
- Your route: refund or credit the original booking from the Attendees tab, remove them from that class, then add them to the new one from Contacts. A class credit is usually the cleanest way to carry the money across.
Refund or remove a single booking
- Open the class and go to the Attendees tab. The actions sit inline on each attendee's row — there's no ⋯ menu here.
- To return money, click the dollar-sign Refund button on a paid row and choose a cash refund or a class credit, then confirm. Credits are emailed to the attendee and can be used on any future class.
- To take someone off the roster, click the trash Remove attendee button and confirm. Their spot frees up immediately and the next person on the waitlist is offered it.
- Removing an attendee doesn't refund them, so issue the refund or credit first if they've paid.
Good to know
- Guests are linked to the original attendee's reservation — they appear together on the roster, and each one takes a spot against the class capacity.
- Add guest is only offered on a confirmed registration. A waitlisted or cancelled signup holds no spot to share, and a pending one is still mid-checkout.
- A guest with an email address of their own gets their own confirmation. A guest added without one — a child, say — simply doesn't, and everything else about them works the same.
- Refunding a paid booking asks you to choose between a cash refund and a class credit — pick whatever makes sense for the situation.
- A row that's on the roster but hasn't paid shows an Unpaid badge with Copy payment link and Mark as paid beside it, so you can chase or settle the money without leaving the tab.
- If you want to seat two people next to each other, assign them adjacent seats in the Seating view after adding them.
