Manually add someone to a class

Not every signup comes through your public page. Someone calls to reserve a spot, pays you in person, wins a seat in a raffle, or walks in off the street — whatever the reason, you can add them to the roster yourself in under a minute. A first and last name is all you need; email and phone are optional. Manually added attendees are full attendees: they count toward capacity, appear on the check-in list, get seat assignments, and can receive the same confirmation email as everyone else. Nothing is charged inside the form — but on a paid class you decide what happens with the money: record it as free, record what they already handed you, or add them unpaid and send them a short link to pay themselves.

Add an attendee to a class

  1. 1Open Contacts from your dashboard sidebar and click Add Attendee.
  2. 2In the Event dropdown, choose the class you're adding them to. Classes that have no room left are greyed out and marked (Full). Leave the dropdown blank to save them as a contact only, without any class signup.
  3. 3Enter First Name and Last Name — those two are the only required fields.
  4. 4Add an Email and Phone if you have them. Both are optional: leave the email blank for a walk-in and they still go on the roster, they just won't get a confirmation or reminders.
  5. 5If the class has more than one pricing option, pick the one they signed up under. This sets the amount owed if you send them a payment link.
  6. 6Tick any Add-ons they're taking. Add-ons are recorded on the booking without charging — use them for extras paid at the door.
  7. 7Answer any intake questions the class asks. Required ones are marked with an asterisk; fill them in on the attendee's behalf or leave them blank.
  8. 8Adding a party? Click Add guest for each extra person and enter their first and last name. A guest's email and phone are optional, and there's a This guest is a minor checkbox for children. A guest row missing a first or last name is simply not saved.
  9. 9On a paid class, choose what happens with the money in the Payment section: No payment / free, Add unpaid & get a payment link, or Mark as paid (which asks for the amount, the method — cash, Venmo, Apple Pay, Zelle, check, or other — and an optional note). Free classes don't show this section at all.
  10. 10Leave the confirmation email switched on, or flip Don't send confirmation email to add them without notifying them.
  11. 11Click the button at the bottom — it reads Add Attendee, Add & Get Payment Link, or Add & Record Payment depending on the payment choice. They appear on the roster immediately and count toward the class capacity, along with each of their guests.
  12. 12If the class uses a seat map, the seat picker opens right after saving: first for the attendee, then for each guest in turn. Pick the seat each person chose, or close the dialog to skip it and assign seats later from the class roster.

What each payment choice does

  • No payment / free — a confirmed booking with nothing owed. Use it for comps, raffle winners, and anyone you're not charging. It's also the only option on a free class, where the Payment section doesn't appear at all.
  • Add unpaid & get a payment link — a confirmed booking that holds their spot but shows as Unpaid until they pay. Classy hands you a short link to send them; it needs Stripe or Square connected, and there has to be an amount to collect.
  • Mark as paid — a record of money you've already collected outside Classy. You enter the amount, the method (cash, Venmo, Apple Pay, Zelle, check, or other) and an optional note like “Paid at door”, and it lands on your Payments page like any other payment.

Send someone a payment link

  1. 1In the Payment section choose Add unpaid & get a payment link, then click Add & Get Payment Link. A Payment link ready dialog appears with the short link — click Copy link.
  2. 2Send it yourself: text it, paste it into an email, or read it out. Classy never sends this link for you, and no confirmation email goes out while the booking is unpaid.
  3. 3They're on the roster right away as a confirmed but Unpaid registration, holding their spot. Nothing expires — the seat is theirs whether they pay today or on class day.
  4. 4Need the link again? Click Copy payment link on their row, on the class Attendees tab or in Contacts. It's always the same link, so an older text message keeps working.
  5. 5When they open it they pay for that exact registration through your usual Stripe or Square checkout, and their row flips to paid automatically.
  6. 6If they hand you cash instead, click Mark as paid on their row and confirm. The amount owed is recorded as a cash payment and the link stops working.

Good to know

  • No card is charged inside the form. You either add them free, record a payment they've already made, or hand them a link so they can pay themselves — the form never takes card details.
  • A payment-link booking stays confirmed but Unpaid until the customer completes checkout. It holds their spot just like a paid one and it never expires — the seat is theirs whether they pay today or on class day.
  • Payment links need Stripe or Square connected, and something to collect. On a free class there's nothing to charge for, so the option doesn't apply.
  • If someone with that email address is already signed up for this class, the form refuses the add and tells you to use Add guest on their row instead — that's the right move when a registrant is bringing an extra person.
  • Leave the email blank for a walk-in you have no details for. They go on the roster as normal but show as “No email on file”, and Classy never emails them a confirmation, a reminder, or a receipt — there's no payment link to send them either. Add an address to their contact record later and those start working.
  • If the class is full, you can't manually add past capacity — full classes are greyed out in the Event dropdown. Free a seat first or raise the class capacity from the class editor.
  • Adding someone without selecting an event saves them as a contact only — handy for building your list without registering them for a class.
  • Guests share the primary attendee's booking and each take a seat of their own, so the class needs room for the whole party. To add a guest to a booking that already exists, use Add guest on their row instead of adding them again here.
